Job Title: Administrative Finance Assistant

Summary:
The Administrative Finance Assistant provides crucial support to the finance department and ensures the smooth operation of daily administrative and financial tasks. This role requires meticulous attention to detail, strong organizational skills, and a proactive approach to problem-solving. The ideal candidate will be a reliable team player with a solid understanding of basic accounting principles and proficiency in common office software.
Responsibilities:
- Accounts Payable: Processing invoices, verifying approvals, coding expenses to the correct general ledger accounts, preparing payments (checks, electronic transfers), and maintaining accurate vendor records. Resolving discrepancies with vendors in a timely manner.
- Accounts Receivable: Assisting with the preparation and distribution of invoices, tracking payments, and following up on overdue accounts. Reconciling accounts receivable balances and preparing aging reports.
- Data Entry and Record Keeping: Accurately inputting financial data into accounting software (e.g., QuickBooks, SAP). Maintaining organized and up-to-date financial records, both physical and electronic.
- Reconciliations: Assisting with bank reconciliations, credit card reconciliations, and other account reconciliations to ensure accuracy and identify any discrepancies.
- Budgeting and Forecasting Support: Providing support during the budgeting process by gathering data, preparing reports, and assisting with analysis. Helping to track budget performance and identify variances.
- Financial Reporting: Assisting with the preparation of monthly, quarterly, and annual financial reports. Gathering and organizing data for audits and tax filings.
- General Administrative Support: Providing general administrative support to the finance department, including answering phones, handling mail, ordering office supplies, and scheduling meetings.
- Compliance: Ensuring compliance with company policies and procedures, as well as relevant accounting regulations and standards.
- Internal Controls: Assisting in the implementation and maintenance of internal controls to safeguard company assets and ensure the integrity of financial information.
- Project Support: Providing administrative and financial support to special projects as needed.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in accounting, finance, or a related field preferred.
- Proven experience (1-3 years) in an administrative or finance-related role.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required. Strong Excel skills are essential.
- Experience with accounting software (e.g., QuickBooks, SAP) is highly desirable.
